Who we are

RepAgentic is a go-to-market advisory business based in Sydney, Australia. This page explains how we handle information you give us when you request a RepAgentic Outside-In Read. If you have any questions, email jeremy@repagentic.com.

What we collect

When you request an Outside-In Read, we collect your name, job title, work email, company website, phone number (optional) and whether your company has a prospecting team. If you complete the self-assessment, we also collect your eight answers and any comment you add. If you skip it, we only record that you skipped.

We don't use analytics, advertising trackers or tracking pixels on our website, and viewing our pages doesn't connect your browser to any outside services beyond our website host. To stop repeated or automated requests, we keep a scrambled (one-way) form of your email for a short time. We never store your IP address for this purpose.

How we use it

We use your information to confirm your request, prepare and send your brief, contact you about it, and manage our business relationship with you. We do not sell it or share it for others' marketing.

Where it is stored

  • Website database: your request is first saved in our website's database, which is hosted in Japan. An encrypted copy of your request is held there only until it has been transferred to our customer relationship management system (HubSpot).
  • HubSpot: hosted in Australia. This is where your details and request history are kept.
  • Website and email providers: our website is hosted by Lovable, and its server code runs on Cloudflare's global network, usually in the data centre nearest you. Lovable's email service sends our emails. These providers, and Microsoft 365, may process information in other countries.
  • Email: request notifications, and any emails you send us, go to our business inbox, which is hosted by Microsoft 365.
  • Booking link: if you choose to book a short call, the booking is handled by HubSpot's booking page, which receives the details you enter there. Nothing from your request is sent to it.

Because some of this happens outside Australia, we use established providers and take reasonable steps to make sure they protect your information.

How long we keep it

  • Temporary website copy: the encrypted copy of your request is kept only until it reaches our CRM. That is normally within seconds and no more than seven days, unless a transfer problem needs our review. We don't delete an unresolved request without reviewing it first.
  • Technical record: a minimal reference (with no answers and no readable contact details) is kept for 90 days. It prevents duplicates and lets us handle late answers.
  • Self-assessment link: the private link to complete your self-assessment expires 14 days after it is issued.
  • CRM records, request emails and the emails we exchange with you: kept while they are needed for the purposes above. If we haven't been in contact with you for 12 months, we review your record and either delete it or keep it for a recorded reason, such as an ongoing business relationship.
  • Backups: our website's hosting provider keeps database backups for about 14 days. A deleted copy may therefore remain in a backup for up to that period before it is overwritten.

Your browser doesn't save your answers; they are held only while the page is open.

Your choices

You can ask to see or correct your information, or ask us to delete it, by emailing jeremy@repagentic.com. We'll respond within 30 days. If you have a concern about how we handle your information, please contact us first. You can also contact the Office of the Australian Information Commissioner (oaic.gov.au).
